Privacy Policy
How we handle your data and protect your privacy.
Effective date: 1 January 2025 | Last updated: 20 February 2026
1. Who we are
iConvertOnline ("we", "us", "our") operates the website at iconvertonline.com. We provide free browser-based and server-assisted file conversion tools. Questions about this policy can be sent to our contact page.
2. Files you upload
We handle uploaded files differently depending on which tool you use:
- →Client-side tools (Merge PDF, Split PDF, Rotate PDF, most image converters): Files are processed entirely in your browser using JavaScript. They are never uploaded to our servers and never leave your device.
- →Server-side tools (Word to PDF, Compress PDF, PDF to Word, Excel to PDF, OCR PDF): Files are uploaded over an encrypted HTTPS connection, processed, and deleted immediately after you download the result. We do not retain, read, analyse, or share the content of any uploaded file.
3. Data we collect
We do not require registration and do not collect personal information to use our tools. However, we do collect limited anonymous data:
- →Usage analytics: Page views, tool usage counts, and general traffic patterns collected via Google Analytics. Data is anonymised (IP addresses are truncated) and aggregated. We cannot identify individual users from this data.
- →Server logs: Standard web server logs including IP address, request path, timestamp, and browser user-agent. Logs are retained for up to 30 days for security and debugging, then deleted.
- →Contact form submissions: If you contact us, we retain your message and email address solely to respond to your enquiry. We do not add you to any mailing list.
4. Cookies
We use cookies for the following purposes:
- →Essential cookies: Required for the site to function (e.g. dark mode preference). These cannot be disabled.
- →Analytics cookies: Google Analytics cookies (_ga, _gid) that help us understand how pages are used. No personal data is included.
- →Advertising cookies: Google AdSense places cookies to show relevant ads. These are controlled by Google's privacy policies. You can opt out via Google Ad Settings.
5. Third-party services
We use the following third-party services, each with their own privacy policies:
- →Google Analytics — usage statistics
- →Google AdSense — advertising
- →Cloudflare — CDN, DDoS protection, and HTTPS termination
We do not sell or share your data with any other third parties.
6. Data retention
- →Uploaded files (server-side tools): deleted immediately after download
- →Server access logs: 30 days
- →Analytics data: retained by Google Analytics per their data retention settings (default 26 months)
- →Contact form messages: retained until the enquiry is resolved, then deleted
7. Your rights (GDPR & CCPA)
If you are in the European Economic Area (EEA) or California, you have specific rights regarding your personal data:
- →Right to access: Request a copy of any personal data we hold about you.
- →Right to deletion: Request that we delete your personal data. Because we collect very little data and do not link it to identities, this mainly applies to contact form submissions.
- →Right to opt out of advertising: Use Google Ad Settings or your browser's cookie controls to opt out of personalised advertising.
- →CCPA — Do Not Sell: We do not sell personal information. California residents can confirm this by contacting us.
To exercise any of these rights, please use our contact page.
8. Children's privacy
iConvertOnline is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided personal information through our site, please contact us and we will delete it promptly.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we update the "Last updated" date at the top of this page. Continued use of the site after changes constitutes acceptance of the updated policy.
10. Contact
For privacy-related questions, requests, or concerns, please contact us. We aim to respond within 5 business days.
